We currently have an exciting career opportunity for an Administrative Office Services Coordinator to join the team in our New York office. This position requires daily, on-site presence in the New York Office, with occasional remote days depending on the office schedule.

YOUR ROLE.   

Responsibilities include but not limited to:  

  • Coordinating meetings and events, including sending communications to confirm logistics with the rest of the Administrative Services team.
  • Completing new hire onboarding tasks such as disseminating Office Services welcome letters, entering new hires into security, providing access cards, and setting up new hire Seamless accounts.
  • Entering outgoing work orders into the building security system.
  • Monitoring incoming Office Services work orders and responding to questions/requests for service.
  • Maintaining daily communication with the team via email, phone, and face-to-face contact. Reading and responding to all emails in a timely manner and follow up as needed.
  • Assisting with processing all employee expense reports, including analyzing time and expenses and helping to enforce company policies.
  • Coding invoices in Palette for payment processes to Finance.
  • Processing daily check deposits.
  • Acting as back-up for the Receptionist.
  • Providing general administrative support for on-going projects and other essential tasks, as needed.

YOUR EXPERIENCE.   

The successful candidate will have:  

  • Minimum 4+ years in administrative support work, office practices and administrative procedures
  • Mailroom management experience a plus
  • Event planning experience a plus
  • Highly motivated with excellent organizational and interpersonal skills
  • Intermediate to advanced knowledge of MS Office – especially, Word, Excel, and Outlook
  • Tech savvy with the ability and desire to embrace necessary software applications to learn new computer programs
  • Strong written and verbal communication skills
  • Knowledgeable of business grammar and basic proofreading skills
  • Professional demeanor and appearance necessary at all times
  • Demonstrated client focus experience interacting with senior level executives
  • Superior organizational and follow-through skills with strong attention given to details and deadlines
  • Ability to operate with a sense of urgency
  • Ability to work independently with limited supervision as well as work cooperatively with all levels of management and employees
  • Proven ability to work in a high-volume, fast-paced, deadline driven environment and handle multiple projects while prioritizing, planning, and organizing projects simultaneously
  • Flexibility to change direction frequently between tasks and between different clients
  • Capability to work in a fast-paced environment and meet deadlines
  • Demonstrated team player with a flexible personality and positive attitude!
  • Open to constructive feedback and on-going self-improvement
  • Flexibility to work additional hours during peak periods of the year
  • Ability to lift 30+ lbs.

In New York City, the salary range for an Administrative Office Services Assistant is $45,000 to $55,000.  Salary is one component of the CohnReznick total rewards package, which includes a discretionary performance bonus, generous paid time off, expanded and inclusive parental benefits, and access to best-in-class learning and development platforms, to name a few.
